  • Overview

    Provides administrative support for all of the Bloomington locations. Requires in-depth knowledge of company operations, policies, and procedures. Works on problems of diverse scope. Exercises judgment within generally defined practices and policies in selecting methods and techniques for obtaining solutions. Requires a professional certification or equivalent experience in working with all level of employees, as well as experience with customers, vendors, visitors, and other dignitaries.

    Responsibilities

    • Serves as the key support for the Bloomington office ensuring it operates in an effective, efficient, and professional manner.
      • Provides administrative support including, but not limited to: scheduling appointments, scheduling meetings, taking meeting notes, following up on meeting-generated tasks, preparing documents, spreadsheets and presentation slides.
      • Maintains calendars accurately with particular attention to preventing scheduling conflicts.
      • Organizes and coordinates meetings or committees, including reserving conference rooms, sending and tracking invitations, sets up room and equipment
      • Prepares meeting agenda; prepares and distributes information required for meetings. Takes and prepares minutes of meetings. Ensures that minutes and other written documents are professional and accurate.
      • Handles telephone calls in a professional, courteous speaking manner; determines nature of all calls and initiates appropriate disposition.
    • Site administrator will support the Bloomington facility to ensure that the office is organized and operating efficiently. Includes such things as:
      • Maintenance and upkeep facility’s office space such as conference rooms, offices and cubes.
    • Sever as back up contact for facility manager for maintenance vendor (plumbing, electrical, etc.)
    • Responsible to assist in coordinate office activities
    • Safety Administrator for Bloomington facility including:
      • Responsible to lead the Safety Committee by scheduling regular meetings, creating agenda, reviewing issues/concerns with committee as they occur, and create meeting minutes
      • Coordinate and schedule safety-related training and inspections.
      • Provides clerical work on maintaining, updating and posting the safety policies, procedures, programs, and MSDS binder.

    Oversees/coordinates specific projects; works on deliverables from required constituents; tracks, analyzes, and makes recommendations or raises concerns on status reports, recommends improvements, etc

    Qualifications

    • Minimum of 5 years of experience in working with as office administrator within and outside the company, as well as experience with customers, vendors, visitors, and other dignitaries.
